Inviting someone
Getting a new person onto your team is one short form: an email address, a role, and the outlets they are allowed to work at. Everything after that happens in their inbox.
They get an email with a link that expires.
Sending it
Open Team and choose Invite teammate
The button is at the top right of the Team screen, beside Roles & access.
Type their email address
It is the only required field, and it is also the lock. The invite can be accepted by one person only — whoever signs in with that exact address.
Pick a role
Every role your business has is in the list, including any you built yourself. See Roles and permissions.
Tick the outlets
Every outlet starts ticked. Untick the ones this person has no business at. They join with the same role at each outlet still ticked, and an invite with none ticked will not send.
Send it, and an email goes to that address carrying a link. The link opens a page that names your business, the role and the outlets before the person agrees to anything, so nobody accepts an invite blind.
Seven days, then the link stops working
Every invite expires seven days after you send it. The Invites tab shows the date next to each one, so you can see at a glance which are about to lapse.
If somebody opens the link on day eight, they are told the invite has expired and nothing happens to your team. Send a fresh one.
Revoking and re-sending
Pending invites live under Invites, one row each with the email address, the role, the outlets and the expiry. The bin icon on the right revokes the invite immediately — the emailed link is dead from that moment, whether or not the person has read it. Revoked invites move to Past.
Inviting the same email address again while an invite is still pending does not create a second one. It refreshes the invite you already sent: a new link, a new seven days, and whatever role and outlets you picked this time replace the old ones. The earlier link stops working.
Accepting
The person clicks the link and signs in with the invited address. If they sign
in as somebody else, the invite refuses them and says so — an invite sent to
maya@freshfold.example cannot be accepted from another account, even at the
same business.
The moment they accept, one membership is created for them at each outlet on the invite, active, carrying the role you chose. They appear under Members with a row per outlet. Nothing is retroactive: they can see what your business holds now, not a copy of anything that happened before.
