Sending a payment reminder

A customer with money owed across three orders needs one note, not three. This is that note: drafted from the figures already on their record, edited by you, sent by email, and kept.

The balance and the order count come from the record, so the letter cannot quote a figure the page disagrees with.

Where the button is

On the customer's record, at the bottom of the financial snapshot. It appears only when three things are true at once: you can edit customers, they owe something, and you hold an email address for them.

That last one is the usual reason it is missing. A reminder is an email and nothing else, so a customer with no address on file has nowhere for it to go — add one from Edit and the button arrives. See A customer's record.

What the draft already says

Open it and the heading tells you what is being chased — the balance, and across how many orders — and the line beneath names the address it will reach.

The message is written for you, and everything in it is real: the customer's first name, your business's name, what they owe in your currency, and across how many of their orders. It invites them to settle at the counter or send it across, and it ends by asking them to ignore the note if they have already paid. No placeholders, because a draft full of placeholders gets sent with the placeholders still in it.

Change any of it. The subject and the message go out exactly as you leave them. If your business has published a support email address, replies land there rather than with us.

The balance in the letter is read from the same place the record's financial snapshot reads it, on purpose — an email that quotes a different number from the page you are looking at is worse than no email.

Sending, and what is kept

Press Send reminder and Wash Junkie waits for the message to be accepted before telling you anything. If it is not, you are told that nothing was sent and it is safe to try again, and your wording stays on screen. Nothing is written down in that case, because a record of a reminder nobody received is worse than no record.

When it goes, the message is filed against that customer word for word, with your name on it and the time. That log is the answer to "nobody told me" — whoever picks up the phone in three weeks can read what the customer was actually told, rather than guessing.

Nothing goes out on its own. Wash Junkie sends no reminder on a schedule and none in the background — a customer only ever hears from you because somebody pressed the button.
